DESCRIPTION

Brooklyn Academy of Music (BAM) is an internationally recognized presenter of contemporary performing arts and cinema. We are seeking a part-time Board Relations Assistant that is interested in donor relations and arts administration, and shares our commitment to diversity and equality.  The Assistant will work with the Director of Board Relations on administrative tasks related to all BAM and BAM Endowment Trust (BET) Board business.  

Essential Duties and Responsibilities

  • Plan, organize and execute administrative tasks in support of the Director of Board Relations 
  • Foster an engaged Board culture through timely correspondence, meticulously organized meetings, and enthusiastic and conscientious communication  
  • Update Board contact information in the Board Contact Sheet, Tessitura database, and other locations as needed
  • Organize and coordinate meetings of the BAM Board of Trustees, its committees, and the BET Board, including meeting materials and RSVPs
  • Maintain BAM activity calendar for Board Chair
  • Work closely with President’s Office staff with regard to the President’s calendar as it pertains to Board activity
  • Outline minutes and keep administrative records of meetings 
  • Keep administrative records of all Board-related documents, including resolutions, trustee conflicts disclosure forms, and other governance documents
  • Update Tessitura with all Board activity and information pertaining to trustee participation and engagement
  • Manage Director of Board Relations monthly corporate card reconciliations
  • Manage the departmental budget
  • Maintain organization of hard copy and electronic Board files
  • Greet trustees and coordinate small-scale events & hospitality as needed
  • Help connect trustees with Patron Services, Executive Staff, other trustees, and other internal and external constituents as requested
  • Update ArtsVision and Development Calendar with Board activity
  • Work with Special Events in coordination of Board dinners and smaller events as appropriate
  • Prepare and send cards and gifts for trustees to recognize special milestones or significant losses
  • Prepare awards to recognize key Trustee anniversaries
  • Handle information requests from other departments
  • Communicate with vendors and process purchase orders as needed
  • Work with Archives to make sure Board records are archived in a timely, organized and appropriate way

Required Education, Knowledge, Skills and Abilities

We do not expect any candidate to meet all of these requirements.  The successful candidate will be someone who meets many of these requirements and has the desire and capacity to learn the rest on the job.

  • Two years of work/internship experience in an administrative capacity 
  • Experience working in an arts-related field preferred
  • Excellent administrative, organizational and time-management skills
  • Excellent written and verbal communication skills
  • Excellent knowledge of Microsoft Office
  • Proficient knowledge of databases (Tessitura preferred)
  • Ability to effectively communicate BAM’s mission to external partners
  • Knowledge of the arts and interest in BAM programming is required
