Job Summary: DISNEY THEATRICAL PRODUCTIONS (DTP) operates under the direction of Thomas Schumacher and is among the world’s most successful commercial theater enterprises, bringing live entertainment events to a global audience of more than 20 million people a year in more than 50 countries. Under the Disney Theatrical Productions banner, the group produces and licenses Broadway productions around the world, including Beauty and the Beast, The Lion King, Elton John & Tim Rice’s Aida, TARZAN®, Mary Poppins, a co-production with Cameron Mackintosh, The Little Mermaid, Peter and the Starcatcher, Newsies, Aladdin, and Frozen. Other successful stage musical ventures have included the Olivier-nominated London hit Shakespeare in Love, stage productions of Disney’s High School Musical, Der Glöckner Von Notre Dame in Berlin, and King David in concert. Disney Theatrical Productions also delivers live shows globally through its license to Feld Entertainment, producer of Disney on Ice and Marvel Universe Live!, bringing beloved Disney stories and characters annually to over 12 million guests in nearly 50 countries worldwide. In addition, DTP licenses musical titles for local, school and community theater productions through Music Theater International, including The Lion King Experience, a unique holistic arts education program wherein accredited elementary and middle schools produce condensed, age-appropriate JR. and KIDS adaptations of The Lion King.

Disney Theatrical Group currently seeks an experienced assistant to provide administrative support to the VP, Domestic Touring and Regional Engagements, as well as within the touring department of Disney Theatrical Group. This individual will manage professional and efficient operations to help maximize the value of the executive’s work time, as well as the time of the many staff members and external partners working with him.

This individual must ensure an adaptable and friendly office environment, manage the constant flow of information across multiple tours and projects, and proactively coordinate the demanding work hours and meeting schedule of the VP and touring team.

The ideal candidate will demonstrate superior levels of organization, maturity, and integrity.
Responsibilities: Responsibilities include but are not limited to:

  • Provide consistently expert-level administrative and project support
  • Prioritize and manage constantly fluctuating calendar in Outlook. Regularly review daily/weekly/monthly calendar and travel plans and anticipate information on materials required in advance.
  • Book, facilitate and frequently shift a very high number of meetings, including communicating with multiple participants and participants’ assistants with time, location, attendees, agenda. Book rooms, teleconferences and/or videoconferences as necessary, often across multiple locations and/or time zones. Run office presentation systems for said meetings as required.
  • Serve as the “administrative hub” for the touring team; answer phone calls promptly and cordially.
  • Manage merchandise fulfillment for all tours, including but not limited to invoicing, shipping, warehousing, etc.
  • Develop and maintain professional quality presentations in Keynote and PowerPoint.
  • Coordinate frequent travel arrangements and fulfill approvals per internal protocol. Provide accurate travel itinerary and expense summary.
  • Learn and manage tasks according to corporate travel and expense policy for the entire touring department. Prepare expense reports and ensure corporate credit card payments are processed on a monthly basis with absolute accuracy. Build skills to become an expert SAP and Concur user.
  • Support the touring team on an as-needed basis with regards to administrative and project efforts.
  • Consistently maintain order and organization to department and VP’s office, including electronic and physical filing; order supplies and fulfill department needs as required.
  • Consistently maintain and update contacts in Outlook.
  • Welcome and host guests/visitors as required including, on rare occasion, greeting guests/visitors at DTG’s productions on nights and/or weekends.
  • Provide project support as required, at times including off-site support.
Basic Qualifications:
  • 3+ years executive-level administrative support experience
  • Work experience in the live entertainment industry, preferably in New York, touring or regional theater and with an understanding of key industry relationships
  • Well-versed in all areas of Microsoft Office, including Outlook, Word, Excel; advanced proficiency with Apple products (Mac, iPad, iPhone).
  • Expert-level PowerPoint and Keynote skills are an absolute must.
  • Ability to operate audio/visual videoconferencing equipment.
  • Proven organizational skill, with attention to detail and follow-through.
  • Strong verbal, written and interpersonal communication skills.
  • Ability to work effectively with diverse and strong personalities.
  • Ability to prioritize multiple tasks and maintain a professional demeanor in a fast-paced environment.
  • Ability to work overtime when required.
  • A passion for live entertainment.
Preferred Qualifications:
  • Knowledge of SAP and Concur
  • Work experience within The Walt Disney Company
Preferred Education
  • BA or equivalent degree
