DESCRIPTION

The Public Theater is seeking a highly organized assistant to support the General Management department and keep up with a fast-paced work environment.

 

Responsibilities:

 

o   Assist the Managing Director (MD) and General Manager (GM) with all general administrative needs

o   Maintain the MD and GM’s calendars and ensure all meeting materials are prepared

o   Facilitate all correspondence within the general management office, including monitoring and responding to emails, telephone coverage, and determining the best channels for information distribution

o   Ensure the smooth operation of the office, including filing and organizing, phone coverage, maintaining department databases, and tracking and reconciling department Amex expenses

o   Maintain the physical and electronic files of the department

o   Proof and approve Playbill/Press releases for GM department

o   Create, own, and maintain Show Overview documents

o   Administer GM allotment of opening night tickets

o   Assist with obtaining Visas for foreign artists and weekly departmental payroll

o   Other duties as assigned

 

Requirements:  The ideal candidate will have at least one year of office experience and the ability to work independently.  Must be well organized and adaptable. The ability to interact with staff at all levels, sometimes under pressure, remaining proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.  Excellent written and verbal communication skills and attention to detail are equally important. Knowledge of the industry a plus.
