Job Purpose:
Oversee the day-to-day operation of the front desk. Provide general administrative and clerical support to Advertising Agency.
Duties:
Welcome and Area Management (daily)
• Answer phones on a multi-line switchboard in a professional manner
• Take and relay messages as well as provide information to callers (i.e directions, hours, etc.)
• Route calls to appropriate departments/individuals
• Greet persons entering organization in a professional manner while restricting their access to the facility without proper escort
• Maintain phone lists, maintain Directory
• Train new interns to act as a back-up during absences/breaks
• Oversee conference room and parking lot scheduling
• Make sure the reception area is clean and neat
Skills/Qualifications:
• 2 years experience in an administrative role
• Ability to multi-task in a fast paced environment
• Proficient in Microsoft Excel, Word and Outlook
• Organized self-starter with attention to detail
• Strong written and verbal communication skills
Physical Capabilities:
• Effectively use office equipment including computers, telephones, copiers and faxes
• Sit for extended periods of time in one position
• Possess normal manual dexterity and hand-eye coordination
• Exert up to 10 pounds of force occasionally - lift, carry, push, pull or otherwise move objects
