Job Description

The Administrative Support Specialist will anchor the front desk, welcoming clients and collaborators for meetings, manage supply orders and catering, and assist with daily office operations with a proactive and enthusiastic demeanor. 

 

Responsibilities

·      Provide full administrative support to the President/CEO of Broadway Licensing by professionally answering phones, preparing all expenses and travel arrangements,  coordinating calendars, including meetings and appointments

·      Compile team status documents for President/CEO

·      Assist in ongoing operations of the office/team including: Customer Service, Operations, Marketing, HR, Finance, Materials, Licensing & Development

·      Assist in preparation and drafting of documents, contracts and presentations

·      Assist with preparations for readings and special performances

·      Seek out & research new vendors, facilitate conferences

·      Help with administrative tasks for the office

·      Coordinate IT and facilitate services for department

·      Ongoing clean up and maintenance of the shared drive

·      Order supplies & food for the office as needed

·      Run errands for the office, including but not limited to getting lunch, delivering checks, picking up kitchen and office supplies

·      Projects as assigned

 

Basic Qualifications

·      Minimum 1-2 years of relevant work experience

·      Strong communication skills, both oral and written

·      Ability to initiate projects and see them through to completion

·      Must be able to work at a fast pace while managing multiple tasks and maintaining a professional attitude

·      Meticulous attention to detail and ability to prioritize effectively

·      A proactive, flexible, self-starter who has strong problem solving, social, and interpersonal skills

·      Proactive in keeping abreast of industry developments and company news

·      Working knowledge of Microsoft Suite (Word, Excel, PowerPoint, Outlook) & Mac computers

·      Ability to handle sensitive and confidential information appropriately

·      Interest in theatre a plus

 

This is a full-time, entry-level position in a fun and friendly, yet hard working environment. Hours are Monday through Friday, 9:00AM to 5:00PM. Salary is commensurate with experience.
