At Symphony Space, we are committed to the flawless execution of all events – those produced by visiting presenters who rent our facility, and by our internal artistic team. The Event Management Associate is a key player in delivering on that promise. The Associate is frequently the first line of contact between Symphony Space and our renters. As such, the Associate is an ambassador for Symphony Space ensuring that each renter is primed for a first-rate experience, and is well-informed about and operates in compliance with all Symphony Space protocols, including facility, safety, production, and marketing. Under the direction of the Director of Event Management, the Associate facilitates a highly diverse portfolio of events, making sure that the entire arc from initial inquiry to event completion is efficiently and positively handled. This position has a particular focus on rentals but also supports in-house events, as directed by the Director of Event Management

  • PRIMARY RESPONSIBILITIES Communicate with potential and confirmed renters by email, telephone and in-person meetings to answer questions and ensure appropriate use of the facilities
  • Create and manage a comprehensive planning timeline for all aspects of rental events, including the schedule for payments and document submission
  • Manage the master calendars for in-house and rental events
  • Conduct on-site tours with renters
  • Follow up on unconfirmed in-house and rental holds to maximize rentals
  • Maintain producer files and database of event information
  • Obtain and review information submitted by renters
  • Create and manage web listings, including media submissions (photos and videos), proofread and edit show descriptions and ensure Symphony Space’s style guide is followed
  • Distribute essential information to on-site and off-site parties
  • Liaise with renters and the appropriate in-house departments (e.g., Box Office= House, Marketing and Tech)
  • Maintain an ongoing dialogue with renters to ensure information is accurate
  • Act as the on-site point person for certain events (including some evenings and weekends)
  • In conjunction with the event management and front of house teams, support the execution of all events


· Excellent customer service skills

· Friendly, open demeanor, thorough reliability, and an interest in making the visitor experience first rate

· Ability to maintain a flexible a work schedule with occasional evening or weekend presence on site

· Exacting attention to detail and thorough follow-through

· Personable and professional in all communications – in person, in writing, and by phone

· Familiarity with theater – e.g., basic knowledge of technical terms

· Proficiency with Microsoft Office and Google Suite

· Motivated by collaborative work environment and desire to develop the success of the event management department


This is a full-time position. We offer a benefits package that includes health insurance, life and long-term disability insurance, flexible spending plan (FSA), annuity plan, and three weeks of vacation time annually.
