CLASSIFICATION: Full-time; Seasonal; Non-Exempt (eligible for overtime)

REPORTS TO: Company Manager

LOCATION & SCHEDULE: This is an in-person position reporting to our administrative offices and theaters located at 91 University Place in Princeton, NJ. Schedule will include nights, weekends, and some holidays, as scheduled in advance. Weekly schedule will vary, with 40 hours guaranteed, dependent on production needs and availability.

START DATE: This position will be filled as early as possible with a start date of July 8th, 2024 through June 1st, 2025

Position Summary

Join our energetic team as the Assistant Company Manager and play an essential role in delivering exceptional experiences for visiting artists at McCarter. In collaboration with the Company Manager, you'll provide vital support to ensure seamless operations and comfortable stays for our artists. Your duties will include managing and booking travel arrangements, maintaining artist housing, booking hotel stays and fostering relationships with hotel partners, managing artist's needs, assisting with and coordinating various events, and more. Essential Functions & Duties

Assist in coordinating and executing local ground travel for artists and grocery runs for Theatre Series company, ensuring timely transportation and provision of necessary supplies.

Prep and maintain McCarter housing for visiting artists, including purchasing supplies, scheduling cleaning services, and ensuring accommodations meet the needs of the artists.

Manage ticket requests for Theatre Series design and creative team in collaboration with Patron Services.

Run errands as required for the Theatre Series company and Presented Event artists.

Assist in the preparation and execution of welcome and onboarding materials for visiting artists and stage managers, ensuring they receive necessary information and support upon arrival.

Provide day-of support for hospitality needs for Presented Events, including setting up green rooms, catering, and other amenities for performers and guests.

Provide administrative support to the Company Manager, including scheduling meetings, drafting correspondence, and maintaining accurate records and databases.

Reconcile Company Management credit card and petty cash expenses.

With Company Manager, gather and proof Artist information for McCarter’s marketing department.

Collaborate on and support staff-wide wellness events, social gatherings, celebrations, and all-staff projects, contributing to a positive and inclusive workplace culture.

Stay informed about industry trends and better practices in company management and hospitality, contributing ideas and suggestions for continuous improvement.

Prioritize safe working practices while embodying McCarter's safety and code of conduct policies to maintain a secure environment for all staff and guest artists.

Actively participate in the work to make McCarter an anti-racist theater by seeking opportunities to enhance inclusivity and equity within the Production department, aligning with and exhibiting our core values of "justice and joy, beauty and belonging."

Qualifications

The ideal candidate will be highly collaborative, communicative, have an optimistic outlook, and maintain composure and perspective in stressful situations. A strong sense of professional and personal boundaries when providing hospitality to guests is essential.

Experience in events and administration management.

Able to prioritize and manage multiple projects; maintain confidential information with discretion; and exercise good judgement in heightened situations.

The ability to notice, interpret, and anticipate other’s concerns and feelings, and to communicate this awareness empathetically to others.

Demonstrated proficiency using standard software and web-based applications, including Microsoft Word, Excel, Outlook, SharePoint, and Teams.

Dedication to providing superior customer service, with a warm and welcoming demeanor that fosters a positive experience for all guest artists.

Final candidates must have a valid US driver’s license and will be required to successfully complete a background screening with a motor vehicle record check.

Preferred Qualifications

Experience working as a stage or events manager.

Familiarity with Tessitura and/or ArtsVision.

Working knowledge of the AEA, SDC, USA, and LORT.

Work Environment

This position will drive vehicles ranging in size up to a passenger van; must be comfortable driving in various weather conditions including heavy rain and snow, as well as at night, within varied distances (e.g. nearby major international airports.)

This position entails extended periods of standing and sitting, manual dexterity for operating office equipment, and the ability to read and interpret documents, while occasionally requiring lifting and carrying objects up to 50 pounds, engaging in repetitive tasks, walking, bending, and reaching within various work environments, including stairs. Candidates should be comfortable with these physical demands and able to maintain productivity and focus throughout the workday.

Work will primarily be completed in a shared office space at 91 University Pl, Princeton, NJ with HVAC cooling/heating, as well as various rented apartments units for artist housing.

This position is required to be on-site and in attendance for various performances and events. These will be communicated and scheduled in advance.

Employees may be asked to use a personal cell phone in order to access authenticator apps and related software necessary for work credentials/multi-factor authentication (MFA).
