Studio Coordinator and Administrative Assistant

AKA NYC is looking for a Studio Coordinator and Administrative Assistant to manage projects of the Creative Studio. Using Asana, this individual will track progress and be cognizant of project statuses and ensure deadlines are met. This role will also support the Chief Creative Officer with calendar management, travel arrangements, and administrative tasks. Reporting to the Chief Creative Officer and the Director of Production, the Studio Coordinator and Administrative Assistant is a full-time non-exempt position that is based in New York City.

WHAT YOU’LL DO:

Administration

  • Serve as an Assistant to the Chief Creative Officer; provide detailed calendar management for the CCO; prioritize inquiries while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Perform a broad variety of administrative tasks to help the CCO effectively lead the Creative Studio, including (but not limited to): assisting with special projects; designing or editing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; drafting correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
  • Keep the CCO well-informed of upcoming commitments and responsibilities.
  • Prepare for internal meetings: create agendas, take & distribute notes, manage follow-up communication

Project & Studio Coordination

  • Coordinate daily workflow of Creative Directors, Designers, Production Artists, and freelancers.
  • Maintain and update Asana to streamline projects.
  • Ensure all creative briefs and objectives are clearly communicated to assigned studio staff.
  • Collaborate with Client Services to negotiate and meet deadlines.
  • Communicate daily studio deadlines to the Chief Creative Officer and Client Services team.
  • Track progress and status of all projects—know what is happening across all jobs.
  • Ensure deadlines are met and signed off before studio staff logs out for the day.
  • Anticipate freelancer needs and oversee the staffing and work of freelancers.
  • Maintain an updated spreadsheet of all freelancers, their portfolios, rates, contact information, etc.
  • Attend project kick-off meetings to stay abreast of all upcoming jobs and projects.

Finance

  • Facilitate new freelancer paperwork, create POs and submit freelancer invoices to accounts payable.
  • Help Content team with billing as needed.

WHO WE’RE LOOKING FOR:
  • 1-2 years in an administrative or related role (ideally servicing the entertainment industry)
  • Experience working with Asana a plus
  • Ability to provide accurate, timely, and effective communication
  • Excellent organization, time management, and interpersonal skills
  • Exercise initiative and exhibit sound judgment
  • Strong attention to detail
  • A multitasker who can work under pressure to meet deadlines
  • The ability to handle sensitive information with the highest degree of integrity and confidentiality
